Planning
Estimate Your Budget. What is your Theme or Focus of Corporate Event? Date to be held and reason for having it. Number of attendees. Venue, Food & drink Entertainment. Accommodation, Material Covered or Speakers.
Decide style of event: Dinner Theatre, Boardroom, Cabaret, Classroom.
Duration: 1/2 day, full day, three days, or one week In-house Convention
Does the facility provide audio/video equipment for presentations?
What audio visual equipment might you need? Television, Set Projector, Lap Top, Audio, Staging, Lighting, Sound System, Cd Player, Karaoke Music.

Who are the attendees? Clients, Staff only Public Focus Group Preparation. Choose your location and venue Preferred location Accessibility of location Size of venue required Cost Accommodation Facilities
Agree with the date and timing. Decide approx. date range. Decide dates that are unfeasible. Decide which days of the week you are prepared to consider. Start and finish times.

Produce a delegate list & approximate numbers
Agree on menus: Teas / Coffees, Buffet, Seated Hors'deuveres.
Search For Appropriate Public Speakers. In house or Sourced Out
Agree on added entertainment: Dinner/Dance, Team Building Activities, Leisure Activities, Games, Disc Jockey, Comedians, Musicians, Magician, Sporting Events, Group Tours

Event Day
Labels and name badges: Pinned or clipped onto board - alphabetically organized by department or category. Prepare spare badges and pens for additional arrivals.
Publicity material: Prepare brochures, flyers, banners and general info to display if required.
Display equipment: Prepare or plan for display boards, tables, chairs for publicity material & name badges
Additional A/V Equipment Check A/V Equipment (laptop, projector etc to ensure all cables, leads, lap top, screen, microphone, mouse are present)

Communication with attendees: Ensure all planners/staff know the following- Venue location and directions. Date & timing. Dress code, bathroom and telephone locations. Who the main point of contact is for general information. Itinerary of the Day or week. What are the Expectations of Attendees? Will they be met?
Prepare miscellaneous items to bring: Pens, Pads, Equipment, Documents, Presentation, Badges, Extra equipment, Business Cards, Name Badges, Printed Handouts of Material that will be covered etc
At Venue - Check for the following: Signage, Registration Desks, Name Badge, Boardroom Location of Meeting, Room Number, Number of Chairs, Flip chart & Pens A/V Equipment / Presentation Notepads / Pens. Make sure water is available. Refreshment area, snacks, Food Timing and Placement. Location to eat.
